We have therefore created a quick guide for best practice when creating, naming categorising and structuring Teams sites.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Creating Teams<\/h3>\n\n\n\n<p>To create a new Teams site you will need to:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Select<strong> Join or create team<\/strong><ul><li>in <strong>Grid <\/strong>view this is at the top right of the window<\/li><\/ul><ul><li>in <strong>List <\/strong>view this is at the bottom below the list of teams.<\/li><\/ul><\/li><li>Select an appropriate Teams type (see the image below for the different types)<\/li><li>Add a description for context and clarity<\/li><li>Select <strong>Next<\/strong><\/li><li>Add the required <strong>Staff<\/strong> or <strong>Students<\/strong><\/li><li>Your site is now ready to use<\/li><\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/blogs.loucoll.ac.uk\/learningtechnology\/files\/2021\/09\/Choose-a-team-type-1024x445.png\" alt=\"Screen shot  of Teams Types\nClass,\nProfessional Learning Community,\nStaff,\nOther\" \/><\/figure>\n\n\n\n<p>*<strong>Note: <\/strong>It is essential that you choose the correct Team type as this cannot be changed later. You should select <strong>Class <\/strong>for teaching sites. You should select <strong>Staff<\/strong> or <strong>PLC<\/strong> (Professional Learning Community) for Curriculum or Business Support staff.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Creating Teams from a template<\/h4>\n\n\n\n<p>To create a Teams site using an existing template, follow Steps 1 &#8211; 3 above and then before moving onto Steps 4 and 5:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Select<strong> Create a team using an existing Team as a template<\/strong>. Additional owners and members in your existing team will not be pulled through to your new Team when creating it this way.<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Naming Teams<\/h3>\n\n\n\n<p>When naming a new Class Teams site, you should use a name that is meaningful to you and others and includes the ProSolution course code and the group as a suffix. See the example below:<\/p>\n\n\n\n<figure class=\"wp-block-pullquote\"><blockquote><p>Unit 1 Sport Nutrition &#8211; TFG1234\/A<\/p><cite>Meaningful Name &#8211; Course Code\/Group<\/cite><\/blockquote><\/figure>\n\n\n\n<p>When naming a new Staff Teams site, the naming conventions should be short so that users can see key information. Keeping naming conventions short and at the front allows them to be visible in all these contexts&nbsp;while still showing the&nbsp;primary subject&nbsp;in the name.&nbsp;&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-pullquote\"><blockquote><p>DL Team<\/p><cite>Digital Learning Team<\/cite><\/blockquote><\/figure>\n\n\n\n<h4 class=\"wp-block-heading\">Renaming Existing Sites<\/h4>\n\n\n\n<p>To rename a site and add the prefix to one of your existing sites you will need to edit the Team. To do this:<\/p>\n\n\n\n<div class=\"wp-block-media-text alignwide is-stacked-on-mobile\" style=\"grid-template-columns:37% auto\"><figure class=\"wp-block-media-text__media\"><img loading=\"lazy\" decoding=\"async\" width=\"542\" height=\"409\" src=\"https:\/\/blogs.loucoll.ac.uk\/learningtechnology\/files\/2021\/12\/edit-team.jpg\" alt=\"\" class=\"wp-image-6767 size-full\" srcset=\"https:\/\/blogs.loucoll.ac.uk\/learningtechnology\/files\/2021\/12\/edit-team.jpg 542w, https:\/\/blogs.loucoll.ac.uk\/learningtechnology\/files\/2021\/12\/edit-team-300x226.jpg 300w\" sizes=\"auto, (max-width: 542px) 100vw, 542px\" \/><\/figure><div class=\"wp-block-media-text__content\">\n<ol class=\"wp-block-list\"><li>Locate the site you wish to edit<\/li><li>Select the ellipses or &#8230; next to the name <\/li><li>Select Edit team<\/li><li>In the team name box add the prefix as shown<\/li><li>Select update<\/li><\/ol>\n<\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Categorising Staff Teams<\/h3>\n\n\n\n<p>The college has invested in the ShareGate: Apricot tool to help us identify how our Teams sites are used and manage them more effectively. When categorising a Staff Team you should follow these two steps:<\/p>\n\n\n\n<div class=\"wp-block-media-text alignwide is-stacked-on-mobile is-vertically-aligned-center\" style=\"grid-template-columns:26% auto\"><figure class=\"wp-block-media-text__media\"><img loading=\"lazy\" decoding=\"async\" width=\"218\" height=\"52\" src=\"https:\/\/blogs.loucoll.ac.uk\/learningtechnology\/files\/2021\/08\/Sharegate-Apricot.png\" alt=\"ShareGate Apricot Logo\" class=\"wp-image-6339 size-full\" \/><\/figure><div class=\"wp-block-media-text__content\">\n<ul class=\"wp-block-list\"><li>Look for the ShareGate: Apricot message.<\/li><li>Select the business purpose of the Team From the list.<\/li><\/ul>\n<\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Structuring Teams<\/h3>\n\n\n\n<h4 class=\"wp-block-heading\">FE and HE Class Team Sites<\/h4>\n\n\n\n<p>It is best practice to create&nbsp;a&nbsp;Class Team&nbsp;with channels&nbsp;as opposed to having a bunch of different teams with the same set of members.&nbsp;Channels can be&nbsp;created for&nbsp;topics, units\/modules, group work&nbsp;and more.&nbsp;These channels can then be&nbsp;used to organise&nbsp;the associated&nbsp;files, conversations and apps in one place. The General channel can be used&nbsp;to share an overview of the team, for announcements and other generic information.&nbsp;You can choose whether you would like your channels to be Standard or Private. Standard channels will be available to everyone. Private channels will only be available to the students you choose&nbsp;and&nbsp;could be used for yourself and other teachers in the Team.&nbsp;When creating channels in Teams you can choose which channels are visible to team members.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Staff Team Sites<\/h4>\n\n\n\n<p>It is best practice&nbsp;to&nbsp;create Staff Teams with a larger set of members and more channels as opposed&nbsp;to having a bunch of different teams that have the same set of members.&nbsp; Channels&nbsp;within a team should be thought of as topics or workstreams to aid the team in organising work to deliver on joint objectives.&nbsp; The general channel can be used to share an overview of the team, for&nbsp;announcements and the&nbsp;onboarding of new members, or other high-level information.&nbsp; Standard channels can be used for conversations that&nbsp;members of&nbsp;the team can contribute to.
