From drafting emails and reports to writing meeting notes, capturing ideas on the go, or recording outcomes from staff meetings, these tools can support a wide range of day-to-day activities. They can also make a meaningful difference for staff with dyslexia or other specific learning needs. Teaching staff may find them especially useful for lesson planning, reflecting on practice, and producing documentation more efficiently.<\/p>\n\n\n\n<p>Why not give them a go?<\/p>\n\n\n\n<p><em>To access Dictate and Transcribe in the Word desktop app, you will need to have the Microsoft 365 version of Word downloaded on your computer. IT support can assist you with this as needed.<\/em><\/p>\n\n\n\n<div style=\"height:10px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<div style=\"height:5px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Dictate<\/strong><\/h5>\n\n\n\n<p>Dictate converts your voice into text in real time. It could be used for speaking assessment feedback, drafting emails, reports, reflective notes, writing agendas, or summaries quickly.<\/p>\n\n\n\n<p><strong>How to access and use Dictate<\/strong> <strong>in Word<\/strong>:<\/p>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:0.5px\"><\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<ol class=\"wp-block-list\">\n<li>Open a<strong> <\/strong>new or existing document<strong> <\/strong>in Microsoft Word<strong> <\/strong>(desktop app or online version).<\/li>\n\n\n\n<li>From the <strong>Home<\/strong> tab, select <strong>Dictate<\/strong> (microphone icon). You can also enable auto punctuation and filter sensitive phrases.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>When recording, speak clearly and at a steady pace. Say punctuation aloud, such as <em>\u201cfull stop\u201d<\/em>, <em>\u201ccomma\u201d<\/em> or <em>\u201cnew paragraph\u201d<\/em>.<\/li>\n\n\n\n<li>Once you are done, select the <strong>Dictate<\/strong> microphone<strong> <\/strong>again to stop recording.<\/li>\n\n\n\n<li>Review and edit the text as needed.<\/li>\n<\/ol>\n<\/div>\n<\/div>\n\n\n\n<div style=\"height:10px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<div style=\"height:5px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Transcribe<\/strong><\/h5>\n\n\n\n<p>Transcribe is ideal for longer conversations or recordings, such as professional discussions, meetings, or feedback conversations. It separates speakers and allows you to insert sections of the transcript into your document.<\/p>\n\n\n\n<p><strong>How to access and use Transcribe<\/strong> <strong>in Word<\/strong>:<\/p>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:1px\"><\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<ol class=\"wp-block-list\">\n<li>Open a new or existing document in Microsoft Word (desktop app or online version).<\/li>\n\n\n\n<li>From the <strong>Home<\/strong> tab, select the <strong>Dictate<\/strong> \u25be (drop\u2011down arrow), and choose <strong>Transcribe<\/strong>. If prompted, allow microphone access.<\/li>\n\n\n\n<li>The Transcribe pane will open, where you can choose a spoken language and either <strong>Upload audio<\/strong> or <strong>Start recording<\/strong>.<\/li>\n\n\n\n<li>If you select <strong>Upload audio<\/strong>, you can pick an existing audio file, and Word will process the file and generate a transcription. By selecting <strong>Start recording<\/strong>, Word will begin listening and recording.<\/li>\n\n\n\n<li>If you are recording, speak clearly and at a steady pace. You can select the <strong>Microphone icon<\/strong> to pause as needed. Once you are done, select the <strong>Save and transcribe now<\/strong> button and Transcribe will process the recording.<\/li>\n\n\n\n<li>When Transcribe has processed the upload\/recording, you can play the recording back and find the transcript below with speakers identified and timestamps, where possible.<\/li>\n\n\n\n<li><strong>Review the transcript<\/strong> and make any changes as necessary by selecting the <strong>pencil icon<\/strong> that appears when hovering over the section.<\/li>\n\n\n\n<li>When you are ready, you can add individual sections to the document by selecting the + plus icon or select the <strong>Add to document<\/strong> button to insert the whole transcript, with options of: &#8220;Just text&#8221;, &#8220;With speakers&#8221;, &#8220;With timestamps&#8221;, or &#8220;With speakers and timestamps&#8221;.<\/li>\n\n\n\n<li>Once you have made your choice, the transcript will be added to the document along with a link to the audio recording. <\/li>\n<\/ol>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:280px\">\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/blogs.loucoll.ac.uk\/learningtechnology\/files\/2026\/05\/Transcribe.png\"><img loading=\"lazy\" decoding=\"async\" width=\"341\" height=\"403\" src=\"https:\/\/blogs.loucoll.ac.uk\/learningtechnology\/files\/2026\/05\/Transcribe.png\" alt=\"Screenshot of the Transcribe pane with language options, and buttons to &quot;Upload audio&quot;
